Duties and Responsibilities

Field’s Calgary office has over 50 legal professionals plus all the requisite support staff. The Office Manager is responsible for and oversees all aspects of office administration, including Human Resources, Facilities Management, and Central Services.

The position has 2-3 direct reports, and oversees the operation and performance of as many as 70 office support staff.

HUMAN RESOURCES Duties:
While much of the firm’s Human Resources function is supported out of our Edmonton office, the Office Manager is an integral part of the function, and has responsibility for many HR functions locally, including:

  • Resource Planning
  • Local recruiting and onboarding
  • Performance management
  • Learning & Development


FACILITIES MANAGEMENT Duties:
The Office Manager will have responsibility for procuring services and supplies for the Calgary office in a cost effective manner, by:

  • Identifying needs for supplies and services
  • Negotiating contracts for supplies and services
  • Maintaining effective relations with landlords, property managers, and all other suppliers and service providers

CENTRAL SERVICES Duties:
The Office Manager is responsible for the Central Services function which provides a wide variety of admin services including: boardroom catering services, reception desk functions, mail and courier handling, document assembly, copying, office supplies inventory, etc.


Qualifications and Skills

Required Qualifications and Skills include:

  • Previous experience in a professional services environment, ideally in legal
  • Experience in all facets of Human Resource management (i.e. resource planning, recruiting, onboarding, performance management, compensation planning)
  • Ability to develop effective working relationships will all levels of the organization
  • Confident individual with clear and articulate verbal and written communications skills
  • Strong financial acumen, with past budget responsibility
  • Effective negotiating skills
  • Demonstrated and significant capacity for problem solving
  • Project Management and organizational skills
  • Passion for service excellence, with a “can do” attitude
  • Effective supervisory, mentoring, and team building skills


Working Conditions

  • Normal week-day office hours (35) with occasional evening and weekend hours to address projects and issues as they arise
  • Occasional travel to other offices for meetings and/or events

Job Purpose

Reporting directly to Field’s Real Estate Department Head, you will be responsible for providing assistance to the real estate paralegals and assistants in the group.

Working Conditions

Responsibilities

  • Closing files
  • Work with assistants to ensure that WIP or A/R are monitored
  • Printing/Saving documents/emails for team members
  • Requesting the Home Owners’ Association invoices on client files
  • Preparing documents to courier to clients and Home Owners Associations
  • Assigning files and updating the spreadsheets for client projects
  • Receipt of the Date Change forms from client
  • Receipt of Closing Schedules/Report
  • Receipt of Offers, printing and saving
  • Receipt of new Certified Certificates of Title and forwarding same to the appropriate party
  • Receipt of Discharges from Lenders and submitting them to Land Titles for registration
  • Data Input into Conveyancer Program
  • Tax and Title Searches
  • Conflict searches
  • File Openings

Qualifications

  • Proficiency in MS Office required
  • Ability to prioritize and coordinate projects in a timely manner
  • Attention to detail
  • Keen eye for consistency and accuracy
  • Positive work attitude
  • Previous law firm experience is preferred
